1. Our Commitment to Privacy
Cottage Country Outfitters (a division of N49 Management Ltd., "CCO", "we", "us") is committed to protecting the privacy of our customers and website visitors in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation.
This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and your rights with respect to your information.
2. What Information We Collect
2.1 Information You Provide
- Name, email address, postal address, and phone number when placing an order.
- Property information (lake name, region, province, property type) when creating a My Cottage Property profile.
- Payment information — processed securely by our payment provider; CCO does not store your full payment card details.
- Photos submitted to our Community Gallery. Embedded image metadata may include the date, device, and precise location where the photo was taken; CCO removes embedded location data before any photo is published.
- Communications you send to us via email or contact forms.
2.2 Information Collected Automatically
- IP address, browser type, device type, and pages visited, collected via cookies and analytics tools when you use the Site.
- Purchase history and browsing behaviour on the Site.
2.3 Information from Third Parties
- Order fulfillment and shipping information from our supplier partners.
- Payment confirmation from our payment processor.
3. How We Use Your Information
We use your personal information to:
- Process and fulfill your orders and communicate about your purchases.
- Personalise your experience on the Site based on your property profile and region.
- Send you seasonal product recommendations, My Cottage Property reminders, and Seasonal Guides (where you are a registered member and have consented).
- Send you our newsletter and promotional communications (with your consent, in compliance with CASL).
- Display your photos and attribution in the Community Gallery (where you have submitted content and agreed to our UGC Licence).
- Improve the Site, our product assortment, and our services.
- Comply with legal obligations and resolve disputes.
We do not sell, rent, or trade your personal information to third parties for their own marketing purposes.
4. Who We Share Your Information With
Supplier Partners — We share your shipping name and address with the supplier fulfilling your order. Suppliers are not permitted to use this information for their own marketing.
Shopify — Our e-commerce platform. Shopify processes and stores transaction data. See shopify.com/legal/privacy.
Canada Post / Couriers — Shipping name, address, and contact information for delivery.
Payment Processor — Payment card data is processed by our payment provider. CCO receives only a transaction confirmation.
Klaviyo — We use Klaviyo to send transactional and marketing emails. Your email address and consent status are stored on this platform.
Google Analytics 4 — We use Google Analytics 4 to understand how visitors use the Site. Data is aggregated and anonymised where possible.
Legal Requirements — We may disclose your information if required by law or to protect the rights, property, or safety of CCO, our customers, or others.
5. CASL — Email Marketing Consent
We comply with Canada's Anti-Spam Legislation (CASL). We will only send you commercial electronic messages if you have provided express consent or if implied consent applies under CASL. You may withdraw consent at any time by clicking "unsubscribe" in any email or by contacting us at contact@cottagecountryoutfitters.ca.
6. Cookies
We use cookies and similar tracking technologies to remember your preferences and shopping cart, analyse traffic and usage patterns, and enable features of our e-commerce platform. You may disable cookies in your browser settings, but this may affect the functionality of the Site. For Quebec visitors, tracking technologies that are not strictly necessary are disabled by default and require your express consent before activation.
7. Data Retention
We retain your personal information for as long as necessary to fulfill the purposes for which it was collected, including legal, tax, and accounting obligations. Order records are retained for a minimum of 7 years. My Cottage Property profiles are retained until you request deletion of your account. Account deletion requests are actioned within 30 days. Records of your marketing consents and unsubscribe requests are retained for at least 3 years after withdrawal to demonstrate compliance with CASL.
8. Security
We take reasonable technical and organizational measures to protect your personal information against unauthorized access, disclosure, alteration, or destruction. However, no transmission over the internet is completely secure and we cannot guarantee absolute security.
9. Your Rights
Under PIPEDA, you have the right to request access to the personal information we hold about you, request correction of inaccurate information, withdraw consent to the collection, use, or disclosure of your personal information (subject to legal and contractual restrictions), and request deletion of your My Cottage Property account and associated profile data.
To exercise any of these rights, contact our Privacy Officer at contact@cottagecountryoutfitters.ca. We will respond within 30 days.
10. Children's Privacy
The Site is intended for adults. We do not knowingly collect personal information from minors. Consistent with guidance from the Office of the Privacy Commissioner of Canada, we treat the personal information of young people as sensitive and, if we become aware that we have collected personal information from a child without valid consent, we will delete it promptly.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the revised policy on the Site with the date of the update. Where a change materially expands the purposes for which we use your personal information, we will notify you and, where required by law, obtain your fresh consent before applying the change to you.
